Pop Japan Travel Tour Terms and Conditions:

1. Conditions of Tour Application

Applicants must be at least 18 years of age or older. Applicants under the age of 18 must be accompanied by a parent or responsible guardian and have valid passports, or contact Pop Japan Travel to make other arrangements. Some tours may enforce a strict 18+ cut-off. This is non-negotiable.

US passport holders do not need a visa for this tour. Those with passports issued outside of the US may need to consult Pop Japan Travel.

with a copy of the participant’s credit card (front and back) and a copy of their passport.

If you do not have a passport at this time or it is being processed, you may send a copy when it is ready. However, for identification purposes, photo ID (i.e driver’s license or other state issued identification) is required at the time of booking. Please note that you do need a passport by the time the tour departs.

Clients who require special medical attention during the tour for reasons of chronic disease, general illness, pregnancy or physical handicap need to advise Pop Japan Travel when applying for the tour.

Pop Japan Travel reserves the right to refuse some applications if the client’s age, qualifications or other conditions do not conform to those designated for tours aimed at specific customer categories or purposes.

2. Document and Final Tour Itinerary

After closure of tour application, approximately 14 days prior to departure, Pop Japan Travel will send by mail the final tour itinerary to the tour participants, showing the time and place of assembly, transportation, hotel accommodations, local contacts, and more information about optional tours.

3. Hotel Rooms

The cost of hotel accommodations included in the tour price are based on double occupancy (2 persons in 1 room).

Tour participants may request single room occupancy (whether by preference or other circumstance) at an additional charge.

If you would like a triple, please contact us. Triple rooms are based on availability as not all hotels in Japan can provide this service.

4. Deposit/Cancellation Policy

When you apply for a tour, you must pay a deposit of $300 toward the cost of the tour. You must then be ready to pay the rest of the tour price by the application deadline.

See below for a table with Pop Japan Travel’s cancellation policy. If you cancel your reservation 90 days or more before the tour departure date, the entire deposit will be refunded to you. If you cancel within 90 days of departure but before the payment due date, you will forfeit your deposit, but any amount over $300 that you have paid will be refunded to you. If you cancel between the payment deadline and 30 days prior to tour departure, you will receive a 50% refund. If you cancel within 30 days of tour departure, you will receive no refund. If you fail to pay the full price of the tour before the application deadline and do not contact Pop Japan Travel to make other arrangements, you forfeit your deposit and will receive no refund.

5. Travel Insurance

Tour participants may buy travel insurance either independently or through Travelex (see Travelex for more information). Insurance can protect against medical emergency and lost baggage. Participants who choose not to buy insurance MUST sign a waiver before tour departure declaring they do not wish to purchase insurance.

6. Revision/Cancellation of Travel Service

Pop Japan Travel may cancel a tour or revise its contents and services for any of the following reasons: natural calamity or disaster, weather conditions, civil unrest, suspension of service rendered by transport or accommodation, provision of transportation not based on the original operational plan, governmental orders, or other circumstances beyond Pop Japan Travel’s control.

Pop Japan Travel reserves the right to take necessary measures when safe, smooth tour operation according to the itinerary is deemed impossible, or when there is valid reason to believe that the tour cannot continue. In such cases, Pop Japan travel must explain in a timely manner its inability to function according to the Travel Contract under the circumstances. The clients may cancel their application and receive a full refund.

7. Liability of Pop Japan Travel and Exemptions

Pop Japan Travel shall not compensate for damages incurred by clients as stipulated in provisions if any of the following reasons apply:

  • Natural disaster, war, civil unrest, and alteration or cancellation of tour itinerary due to such causes.
  • Cessation of services related to transportations or accommodation facilities, and tour itinerary alteration or cancellation owing to such causes.
  • Orders of either Japanese or foreign governments, immigration regulations, isolation resulting from infectious diseases, and tour itinerary alteration or cancellation owing to such causes.
  • Accidents occurring during the client’s free activities
  • Food Poisoning
  • Theft
  • Delays, changes of schedule and route in relation to transportation facilities, and tour itinerary alterations and/or shortened stays at destinations owing to such causes.
